Job Description

Background: Balla Community Resources Development (BCRD) is a non-profit community development organisation committed to enhancing the quality of life for all residents of Balla. Our mission is to operate a sustainable social enterprise that responds to local needs while supporting the most disadvantaged members of the community.  We envision a vibrant, inclusive community where BCRD serves as a central access point for local support services, delivering meaningful and measurable social impact. Through collaboration with community groups, businesses, and statutory agencies, BCRD plays a key role in local economic development and community engagement.

Position Overview:  This is an exciting opportunity to join a committed and forward-thinking team. The Office Administrator will play a central role in ensuring the smooth and effective operation of the Community Resource Centre. The role encompasses front-of-house services, administrative coordination, communications, financial administration, and support across internal teams and stakeholders.  The ideal candidate will be highly organised, personable, and capable of managing multiple priorities with professionalism, accuracy, and discretion.

Location: Balla Community Resource Centre

Working Hours: 39 hours per week (flexibility required, including evenings, and weekends as needed)
Reporting To: Manager

A. Key Responsibilities

1. Office Administration & Communications

  • Provide high-quality administrative support for Events, Finance, HR, and general office operations

  • Ensure the office environment is fully equipped and operational to support staff, committee and board members, service users, and visitors

  • Develop, maintain, and oversee accurate digital and paper-based filing and records management systems

  • Coordinate facilities, room bookings, and resources to support efficient day-to-day service delivery

  • Liaise regularly with the Manager, staff, Management Committee, and Board to support effective organisational operations

  • Prepare and distribute high-quality communications (emails, text messages, notices) to Bingo teams, volunteers, and community stakeholders

  • Submit weekly content for newsletters, local newspapers, and local radio

  • Manage bookings and maintain the centre’s diary and room allocation schedules

  • Maintain and update the organisation’s website and social media platforms

  • Assist with the planning, coordination, and delivery of community training programmes and events

2. Financial Administration

  • Maintain accurate and up-to-date financial records in line with Balla CRD’s Financial Procedures using the ‘Big Red Book’ accounts package

  • Process invoicing, receipting, and basic bookkeeping tasks

  • Carry out bank and credit union lodgements as required

  • Liaise with the organisation’s Auditor and support audit preparation as needed

3. HR, Health & Safety, and Customer Service

  • Maintain personnel records in compliance with data protection and GDPR requirements

  • Support the Manager and staff with HR-related administration and general queries

  • Assist with compliance with health and safety legislation and organisational policies

  • Deliver a consistently high standard of customer service to all centre users, visitors, and stakeholders

B. Person Specification - Essential Skills and Experience

  • Proven experience in an administrative, office, or reception role

  • Experience in operating Financial Management Procedures

  • Excellent organisational and time-management skills, with strong attention to detail

  • Ability to work independently and collaboratively within a team environment

  • Demonstrated commitment to delivering high-quality customer service

  • Strong written and verbal communication skills

  • Ability to manage competing priorities and meet deadlines under pressure

  • High level of discretion and respect for confidentiality

  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)

  • Experience with document control, filing systems, and data management

  • Relevant qualification in Office Administration, Business, or a related discipline

Desirable Attributes

  • Experience and understanding of finance, budget management and cost control

  • Proactive approach to problem-solving and continuous improvement

  • Positive, flexible attitude with a strong sense of initiative and adaptability
